    "I use this for everything"

    Edited 2025-08-09

Pros: I love how simple it is to use it and that I can use it on my work computer, personal computer or on my phone. I easily and quickly note all the information I need to review, remember, or reference.

Cons: Occasionally the search bar doesn't allow you to enter a space between words, but a refresh of the page fixes this. Other than that, it works great!

Overall: I started using this product for a few different things - places to visit, videos I wanted to watch, new vocabulary, etc. But when I started a new high-stress job where I had to keep excellent notes I began using Workflowy daily. I also started using it to remember conversations and meeting new people, as well as summarizing doctor visits, writing shopping lists, and one place to keep everything.

    "Workflowy"

    Posted 2025-08-07

Pros: I like the basic premise of infinitely embedded bullet points. The interface is fast and easy to use. Backlinks and mirrors to notes somewhere else in the system were a game changer that let me get a lot more out of the tool. I also love that I can sort by hashtag and that you can toggle completed bullets on and off.

Cons: Since I’ve been a user for a long time and haven’t kept up with the updates I don’t know if I’m getting everything I could out of the tool. The iphone interface makes it a little bit difficult to drag and drop bullets and I don’t think you can multi select on the phone, so I tend to use the phone to take notes and addd info but the desktop app or webpage to organize things.

Overall: I’ve been using Workflowy for 8 years. I use it to hold all my reference notes. Lists, links, to dos, anything that I’ll want to reference later has a link in Workflowy so it’s searchable. I found a Getting Things Done template and have adapted it to fit my workflow. I don’t manage daily tasks in Workflowy but I use it to list projects and project documentation. I used Workflowy to write my dissertation and for other academic writing. I can tag the sources, back link to literature review notes and keep a bullet for sections that I cut out but may want to repurpose. I love the functionality and feel of the tool and it’s the one I always come back to.

    "Excellent!"

    Posted 2025-08-04

Pros: Really easy to use, really fast, and has been increasing in what it can do over the years. I use it for all my main notes, lists, projects, etc.

Cons: I worry sometimes that the app is starting to move too much in the direction of Notion or others and will sacrifice speed and ease of use by doing so. But still great so far!

Overall: I'd generally recommend using this for anything that's list-related or needs to be pulled up quickly. I use it for shopping lists, tracking where projects are at, making temporary lists, etc. I don't use a lot of the newer features though!

    "Using it daily since 2019"

    Posted 2025-07-28

    Pros: - Minimalism
    - Infinite depth
    - Text-centred approach
    - No distractions
    - The way it allows users to laser-focus on a particular node
    - Reliability
    - My document is very large, and the app handles it perfectly
    - It's very good for software developers, musicians, writers, scientists, entrepreneurs and other creative people

Cons: The mobile version is a bit less convenient. But it's a minor issue.

Overall: This app is literally a lifechanger! My whole mental landscape is now documented. Huge thanks to the Workflowy team!

"My task manager and memory bank for years"

    Posted 2025-07-28

Pros: Simple yet powerful, with unbeatable ease of use.
Nothing else is needed to manage your tasks or archive your knowledge.

Cons: I can't find any, I've been using the tool for 8 years almost daily and I'm totally satisfied.

Overall: The tool's charm lies in its simplicity and flexibility; it can solve many everyday problems with a very simple interface and user-friendliness that's accessible to everyone.
    Very useful and recommended tool.

    "Works for my brain"

    Posted 2025-07-05

Pros: I love the infinite zoom to focus on any level of detail.
The mobile app gives me offline access wherever I am.

Cons: Moving/mirroring entries across large distances in the tree is still a little clumsy. Maybe a split screen view could help with that

Overall: Workflow is a great tool with unique capabilities for organizing work and private projects at scale!

"The Brain Dump That Finally Works — My Whole Life Is in Workflowy!"

    Posted 2025-06-09

Pros: I’ve tried so many apps and systems to organize my life, but nothing has ever stuck like Workflowy. It’s the only tool that truly adapts to me. I use it for everything — my to-do lists, daily planning, goals, journaling, packing lists, recurring event reminders (like what to bring to church or the coffee shop), even storing passwords and my “movies to watch” list. If it’s part of my life, it’s in Workflowy.

What I love most is the flexibility. I can structure things exactly how I want, and it never feels rigid or cluttered. It’s just endless nesting notes and bullet points — simple, clean, powerful.

Cons: The only downside is that it’s very easy to accidentally move or delete something without realizing it — and if you don’t catch it, it might be gone for good. But with a little care (and maybe a backup routine), it’s totally worth it.

Overall: Best of all, it’s free — but I genuinely love it enough that I’d pay for it if I had to. If you’re the kind of person who wants one place to organize everything in your brain, Workflowy is it. I can’t recommend it enough!

    "Good software, bad pricing"

    Posted 2024-09-03

Pros: The software is good and fairly flexible, able to be used for a ton of different applications like lists, design, data storage, and more. Work transitions well between multiple devices and interfaces.
I like how easy it is to compartmentalize various aspects of your work and share some areas but not others.

Cons: The pricing is extremely hidden. As near as I can tell, you can't find out how much it costs until you do the free trial first. Then, if you pay for a month they don't tell you that your collaborators have to pay as well to work on the document you already paid for. It's also a bit expensive for what it is, which is probably why they're not upfront about the pricing.
The controls can take a while to get used to and some of the interface isn't intuitive. You may have to look up some tutorials to do what you want.
Despite many features like lists, kanban boards, tags, and more, there doesn't appear to be any way to insert a table into your data. This feels like a major oversight.

Overall: It's very useful and I'd probably keep using it for half the cost. The price might have been easier to swallow if the company hadn't worked so hard to hide it. I was especially annoyed that there was no indication that my collaborator would have to also pay until after I'd already paid. I strongly suspect there are other good alternatives out there, possibly even free ones, and I will be looking for them and hopefully switching to one soon.

"Suddenly my notes seem organised "

    Posted 2024-03-20

Pros: So easy to use- so intuitive.
I can make notes for all aspects of my life in one place and it all makes sense and is easy to navigate.

Cons: There’s nothing I don’t like about it - it’s revolutionised my studies.

Overall: I love it - I can’t recommend it highly enough. All my work is really well organised now. So easy to use.

    "Superior alternative to Google Docs"

    Posted 2024-03-02

Pros: I write in outlines, so I needed Workflowy.
Also, I value sharing the doc, including with co-authors in China, where Google Docs is blocked.
I like being able to include images.
    I like Dropbox backups.
    I like mirrors.

    Cons: No customisable keyboard shortcuts.
The text jumps around illogically when deleting items.

Overall: For me, the by-far better user interface in an outliner is Bike, but Bike is macOS only and single-user only. I use Bike for my own writing, but I switch to Workflowy for collaborative outlining.

    "A digital, organizable scratch pad"

    Posted 2020-11-10

Pros: You can jot down notes quickly with some organization level to it. You can have nested bullet points, collapsible text, some minor formatting, and multiple lists. Connecting information to dates can be done, but you have to turn that on in your settings. There is a dark mode in the paid version. You can strike through notes to show they've been addressed, but keep them there if you still need to record the information somewhere else before deleting them.

Cons: It's really, really simple. You won't be doing any complex organization in this and if you don't like plain white or black, it could be hard on the eyes. It pretty much only serves as a scratchpad and not much else.

Overall: I really like how simple this app is. Sure, you can't do much organizing with it, but it's good for quickly jotting information down while on the go. I see it as something where temporary information goes, everything that needs to be transferred somewhere else but I can't access in the moment. I wish it had more themes, but it looks nice and clean as is.
