Images and Charts Captions in MS Word

A caption is a short text placed near an image, chart, or object in a Word document to describe or identify it. It usually includes a label (e.g., “Figure 1”) and a brief description, and can be automatically numbered.

Steps to Add and Format Captions

Step 1: Insert an Image or Chart

Image:

  • Place the cursor where you want the image.
  • Go to Insert > Pictures > This Device (or Online Pictures).
  • Select an image and click Insert.

Chart:

  • Go to Insert > Chart.
  • Choose a chart type (e.g., Bar, Line) and enter data in the pop-up Excel sheet.

  • Click OK to insert the chart.

Step 2: Add a Caption

  • Click the image or chart to select it.
  • Go to References > Insert Caption (in the Captions group).

  • In the Caption dialog box:
    • Label: Choose Figure, Table, or Equation, or create a custom label (e.g., “Chart”).

    • Position: Select Below selected item or Above selected item.
    • Caption: Enter a description.
    • Numbering: Choose a format (e.g., 1, 2, 3 or A, B, C) and include chapter numbers if needed.
  • Click OK to insert the caption (e.g., “Graph”).

Step 3: Format the Caption

Change Style:

  • Select the caption text.
  • Go to Home > Styles and apply a style (e.g., images/objects) or customize font, size, or color.

Adjust Position:

  • Drag the caption text box (if applicable) to reposition it.
  • Use Wrap Text (Picture Format > Wrap Text) on the caption to align it with the image/chart.

Edit Text:

  • Click the caption and edit directly to modify the description or label.

Step 4: Create a Cross-Reference to a Caption

  • Place the cursor where you want to reference the caption (e.g., “See Figure 1” in the text).
  • Go to References > Cross-reference.

  • In the dialog box:
    • Reference type: Select Figure (or your caption label).
    • Insert reference to: Choose Entire caption, Label and number, or Number only.

    • For which caption: Select the desired caption.
  • Click Insert and Close.

Step 5: Generate a Table of Figures

  • Place the cursor where you want the table (e.g., at the start of the document).
  • Go to References > Insert Table of Figures.

  • Choose the caption label (e.g., Figure) and format (e.g., Formal).

  • Click OK to create a list of all captioned figures/charts.
