Here's the reality: → Truly passive = happy, not looking, won't move for any offer → Passive but moveable = curious, timing-dependent, needs the right push The difference? About $40K in wasted sourcing cost per year. I see agencies burn hours crafting messages to senior associates who: - Just got promoted 3 months ago - Recently relocated for their role - Have unvested equity that locks them in for 18+ months These aren't prospects. They're time sinks. Here's the qualification framework that works: THE 3-QUESTION FILTER (First 90 seconds of conversation) 1. Timing: "If the perfect role appeared tomorrow, what's stopping you from starting in 30 days?" Red flag: "I'd need 6+ months" or vague non-answers 2. Motivation: "What would make leaving your current role a no-brainer?" Red flag: Can't articulate specific pain points or goals 3. Decision authority: "Who besides you needs to sign off on a career move?" Red flag: "I'd need to convince my spouse/partner to relocate" If they fail 2 out of 3, move on. Everything you do needs to be different. You have to differentiate your sales process, understand your UVP, and how it connects with the value of your customers." 2️⃣ Know Your Ideal Client and Stick to It "I prefer focus over generalities. If you just did that... hey, we focus on third-party logistics, let's say. Just be the best at that, build all of your success metrics into that, all of your messaging around how good you are at that." 3️⃣ Sales is More Than Cold Calling "The elite, the ones that are really producing, are combining elements of all of it. They're really leaning into social selling... The top producers are using more video on LinkedIn outreach, dropping a Loom video in and saying, 'Hey, I noticed you've had this job post on LinkedIn for a while. I've got these great candidates.'" 4️⃣ Price Based on Value, Not Just Market Rates "Staffing agencies don’t actually analyze the cost of providing the service to determine what the cost of service should be. It's purely driven by the market. I would encourage agencies to look at what it takes to run your business, how much net profit you need to be making, and then set your pricing structure in that range." 5️⃣ AI and Automation Should Enhance, Not Replace, Human Interaction "AI is impacting sales, impacting staffing in general. However, it's also really important to understand that the value we really have in this industry is the relationships that we form and the human understanding of how we deliver service and how we meet needs. 𝗜𝗻 𝗳𝗮𝗰𝘁, 𝘀𝗼𝗺𝗲 𝗼𝗳 𝗼𝘂𝗿 𝗯𝗲𝘀𝘁 𝗰𝘂𝘀𝘁𝗼𝗺𝗲𝗿𝘀 𝗮𝗿𝗲 𝘀𝗲𝗲𝗶𝗻𝗴 𝟕𝟓% 𝗼𝗳 𝘁𝗵𝗲𝗶𝗿 𝘀𝗼𝘂𝗿𝗰𝗲𝗱 𝗵𝗶𝗿𝗲𝘀 𝗰𝗼𝗺𝗲 𝗳𝗿𝗼𝗺 𝗲𝘅𝗶𝘀𝘁𝗶𝗻𝗴 𝘁𝗮𝗹𝗲𝗻𝘁 𝗽𝗼𝗼𝗹𝘀! 𝗛𝗼𝘄? Instead of relying on costly external sources of talent every time a job req opens up, these teams are starting their search within their existing database of talent first! For example, they use Gem to re-engage past candidate relationships (either those in their CRM or silver medalists in their ATS). For many of these customers, they’re opening up roles for which they’ve hired before. That means they’ve already been in contact with hundreds, if not thousands, of candidates who are well qualified. In fact, for some hyper-niche roles, these companies may have already spoken to all the available talent for that role! In his blog post, Michael shares a few key strategies that these organizations deploy: 𝟏. 𝗥𝗲-𝗲𝗻𝗴𝗮𝗴𝗶𝗻𝗴 𝗦𝗶𝗹𝘃𝗲𝗿 𝗠𝗲𝗱𝗮𝗹𝗶𝘀𝘁𝘀: Those who came close to getting the job in the past are often your future stars. Our connections have connections. We start here first. 2. Targeted Outreach (without LinkedIn Recruiter). We pick 3-5 competitive /adjacent companies and reach out to passive candidates with customized messaging that states the value prop up front. 3. "NO" candidates get special treatment. If a candidate gets to the interview stage and isn't selected, we give them the royal treatment. We provide resume templates, interview prep guides, and resources to help them. We believe this is not just the right thing to do, it keeps the good ones in our orbit. 4. Outplacement. A win-win. Our outplacement arm supplies our recruiting arm with candidates who are ready and excited to find their next thing after getting let go. 5. Social media content.     🚨 🚨 Something I need to get off my chest! 🚨 🚨 Agencies need to move away from this quick, short-term mentality of trying to place every lead today and bring back into focus the importance of building their pipelines by maximizing their database, response times, engagement processes, and remarketing efforts. GQR recently took a stab at this with leads coming from Travel Nurse Source as they noticed areas for opportunity within how they prioritize and work their leads from us. They engaged a Staffing Engine to help streamline and reengage their candidate pool and the results were amazing. 400% increase in placements and a dramatic reduction in delayed responses and manual workload. GQR's initial challenges were not unlike those faced by many agencies: manual lead distribution, missed opportunities, and a focus on immediate placements.     Reverse engineer your prospecting strategy: 1. Identify your top 30 accounts and the 3-4 people you’d consider target prospects at each of those companies 2. Run work history on those 90-120 people to see where they previously worked (the average person has had 4-5 previous jobs) 3. Take those companies and run them against the work history of your execs, board members, partners, customers, advisors, colleagues, etc. 4. Identify relevant work history overlap by years, department, role, and other criteria to identify potential relationships 5. Confirm relationship strength and learn that about 30%-35% of these relationships will still be “strong” 6. Leverage those relationships and that trust to secure a warm introduction to a target prospect (often senior level) with many of your top accounts Working backward can accelerate access, shorten sales cycles, and avoid the wasted effort of cold outreach into these top accounts.
