    ✅ USE CASE: Automated Proposal Delivery Using Make ➕ Salesforce ➕ Google Workspace 🧩 Business Need: A client needed to automatically send personalized business proposals to every new lead they received through Google Forms (stored in Google Sheets). The proposals had to be generated dynamically based on existing Salesforce data and delivered through Gmail as part of their sales workflow. They were already managing customer records in Salesforce, but they didn’t want their sales team spending time checking, copying, pasting, and emailing manually. ⚙️ Solution: We designed a simple and fast automation flow using Make, that integrates natively with Google Workspace and Salesforce. 🔁 End-to-end process: Lead Entry via Google Sheets: New leads are collected through a Google Form and saved into a spreadsheet. Check if Lead Exists in Salesforce: Make searches Salesforce using the lead’s email address to see if it already exists. Routing: ✅ If the lead exists: → We fetch all lead details from Salesforce → Auto-generate a business proposal using a Google Docs template → Create a Gmail draft with the proposal link and a personalized message ❌ If the lead does not exist: → We create a new Lead record in Salesforce → Update the Google Sheet to reflect that the lead has been inserted 💡 Although this could be built using native Salesforce Flows or Apex, it would take more time and involve more complex setup and testing. We chose Make because: It has native connectors for Gmail, Google Docs, Sheets, and Salesforce. It allows us to build and test fast. It’s ideal for prototypes, MVPs, or teams that want to move quickly without developer resources. 🔎 What we considered during implementation: ✅ Error handling: We know Salesforce can fail silently if required fields are missing. We made sure to build conditional checks and fallback steps (e.g. logging status in Google Sheets). ✅ API limits and quotas: Google Sheets has daily limits on write operations. We added row limits and included logic to avoid overload (e.g., processing only unprocessed leads marked as Processed = FALSE). ✅ Data validation: Each field passed to Salesforce or Gmail is validated and formatted to reduce rejection or formatting issues. 🎯 Impact: Business proposals are generated and sent in seconds, not hours. No more copy-pasting or manual entry. Sales team focuses on real conversations, not admin work. That unread email just cost your factory $50,000. It is a structural gap in how your supply chain handles reality. I see this happen constantly in mid-market manufacturing. The executive team thinks procurement is automated because they spent millions on an ERP. But the reality is entirely different. Clean EDI feeds only handle the perfect orders. Triage and Prioritize Automatically Have the system cross-reference the extracted supplier delays against your live production schedule.     Most businesses are drowning in emails. Not because there are too many. Because the same questions keep coming in and someone has to manually answer each one. Here is an n8n workflow that solves this without removing the human from the loop. Here is how it works in five steps. Step 1 - Email arrives. The workflow triggers automatically via IMAP the moment an email lands in the inbox. Step 2 - AI reads and summarises it. The email is converted to a clean format and summarised in under 100 words so the AI understands what is actually being asked. Step 3 - AI writes the reply using your company knowledge base. This is where RAG comes in. The AI does not guess. It pulls the answer directly from your business documents stored in a vector database. The reply is grounded in real company information. Step 4 - A human reviews the draft. Before anything is sent, the workflow pauses and emails the draft to a designated reviewer with a simple Yes or No button. Step 5 - Approved? It sends. Rejected? It loops back. No email goes out without a human saying yes. This is what responsible AI automation looks like. Not replacing your team. Removing the repetitive work so your team can focus on the conversations that actually need them.     I just spent 20 minutes solving a problem that would've cost me hours every week. I launched a newsletter last week on Substack. But there was a problem: it doesn't connect to other tools. As a solopreneur, I'm already juggling a dozen tools. The last thing I need is another manual process. Every new subscriber meant I'd have to manually add them to my integrated system. For most people, this is where the story ends. You accept the manual work or you don't do it at all. I refused to accept that. So I built a workaround: Substack sends me an email every time someone subscribes. So I turned that email into a trigger. Now every time I get the email, my automation grabs what I need and puts it in the correct systems. 20 minutes of setup. Hours saved every single week. This is what I mean when I talk about systems thinking: Most people hit a limitation and either: - Do the work manually (and burn out) - Skip the work entirely (and miss opportunities) But there's a third option: Get creative and build around the limitation. This applies to everything: → Your company's CRM doesn't sync with your email? Find the workaround. → Manually tracking job applications in a spreadsheet? There's a trigger for that. → Copy-pasting the same follow-up emails? Automate it. → Spending 30 minutes a day on repetitive admin tasks? There's always a system. You don't need to be technical. You don't need to know how to code. You don't need to be an AI expert. You just need to stop accepting "this is how it has to be done" and start asking "what's the creative path around this?"     This week, I worked on building a fully automated Invoice Generation and Email Delivery Workflow using n8n, connecting tools like Gmail, Google Sheets, API Template, and Slack through smart Webhooks and AI agents. Here’s what the workflow accomplishes:  ✅ Receives invoice data securely through a Webhook  ✅ Generates a professional PDF invoice using APITemplate.io  ✅ Updates records automatically in Google Sheets for tracking  ✅ Uses AI (Google Gemini API) to compose two dynamic emails one for the client and one for the manager  ✅ Sends both emails via Gmail integration  ✅ Sends a Slack notification once the process completes successfully 💡 Why Learning Webhooks Matters:  Webhooks are the backbone of modern automation. They allow applications to “talk” to each other in real time no manual refresh, no delay. Mastering webhooks means you can connect any system, trigger workflows instantly, and build solutions that run themselves.     Someone on our admin team was spending hours every week creating a brand new Microsoft Form for every single class we delivered. A different form. For every class. That meant our feedback data lived in dozens of disconnected places, and when our customer success team needed to summarize feedback at scale, they had no clean way to do it. The data was everywhere and nowhere at the same time. The fix came from an unexpected place. I was playing around in Microsoft Forms one day while prepping for a class and noticed something I hadn't paid attention to before. You can pre-fill form responses and share that pre-filled link with people. That one detail sparked the whole thing. We already had all the session information sitting in a SharePoint List. Course title, start and end times, company name, instructor, session type, all of it. Why create a new form every time when we could dynamically build a pre-filled link using data that already existed? So I built it. Here's what the flow does now: → Every day at 7 AM, the flow runs and checks the SharePoint List for sessions scheduled that day → For each session found, it builds a custom pre-filled Microsoft Forms link using the session details already stored in SharePoint → A single evaluation link is generated per class with the relevant information already populated → Automated emails go out to the instructor and admin team with the link and clear instructions on what action to take Here are a few details I made sure to get right: ★ The pre-filled link pulls directly from the SharePoint List columns so the data in the form always matches the data in our schedule, no copy-paste errors ★ Emails are structured to clearly surface what action needs to be taken so instructors aren't left guessing ★ Because all responses now feed into one form, our customer success team can filter and summarize feedback across all sessions without digging through dozens of separate forms Our admin team got hours back every week. Our customer success team can now surface feedback data quickly and accurately when clients ask for it. And the whole thing runs without anyone touching it. This is the kind of automation I love to build. It didn't require building something complicated. It required noticing one small detail in a tool we already had and asking what was possible from there. Let's start building!
