Your reps get handed Sales Nav. And you wonder why they're missing quota. Most teams use it like a phone book. Random searches, generic messages, zero buying signals. That's not prospecting. That's expensive busy work. I've used this exact 5-step system to generate millions in pipeline. Same workflow my team runs every week. Step #1: Build your sequence FIRST Don't touch Sales Nav until you have a complete 21-day multi-channel sequence. I write mine in Google Docs, then build it in Apollo. Step #2: Create trigger based searches → Less than 1 year in current role (they're making changes) → Job opening increases (expansion or performance issues) → Posted on LinkedIn recently → Company headcount growth Step #3: Research before outreach I use ChatGPT to uncover strategic priorities and quota attainment data. Your team should be selling. Instead, they’re drowning in admin work. Sales reps just want to sell. But when we sit down with them, it’s always the same story. They’re buried in 20 screens, clicking through fields that don’t help them close deals. And if it takes that much effort? They’ll stop using the CRM altogether. Not because they’re lazy. But because the system wasn’t built for them. Here’s what we see over and over—and how to fix it: 1) Too Much Manual Data Entry No rep wants to spend their time: • Logging calls • Typing out notes • Moving data between tools They’re here to sell—not push buttons. Fix it by automating everything you can. Use tools like Gong & QuickBooks to log calls automatically and sync invoices. The less manual data entry they do, the more time they have to close deals. 2) Clunky CRM Layouts If it takes 20 clicks to close a deal, they’re not going to use the system. Most CRM setups are bloated with fields that reps don’t care about. Half of them aren’t even for sales. The answer: fewer clicks, better layouts. • Two clicks, max • Only show fields relevant to their role 3) Tools Aren’t Integrated Reps live in: • Outreach • Gong • Slack If none of these tools talk to Salesforce, they’re forced to double their work. That kills adoption. Integrate the tools they already use. If it doesn’t make their job easier, it doesn’t belong in the stack. 4) The CRM Feels Like a Surveillance Tool Managers care about dials. Reps care about closing deals and hitting quota. If the CRM only tracks activity, it’s just another micromanagement tool. Fix it by making the CRM valuable for the rep. • AI-driven next steps • Deal insights • Sales shortcuts that actually help them win It has to feel like a competitive advantage—not a chore. 5) Training That Doesn’t Address Real Gaps Most training is based on gut feelings: “Reps need to know this.” But it doesn’t actually address the biggest problems. Fix it by making training metric-driven. If reps aren’t filling out critical fields, start there. Focus on what actually moves deals forward. Make the CRM work for reps, and they’ll actually use it. I warmed up a prospect for 3 months on LinkedIn before our first call. They signed a £75K deal in 3 days. Modern selling demands a new approach: cold outreach fails, warm relationships win. Think about it... That prospect had consumed 47 of my posts. Watched my videos. Read my articles. Engaged with my content. By the time we jumped on that first call? They already trusted me. They already knew my approach. They already understood the value. I didn't have to sell them. They'd already sold themselves. Here's my framework for turning content into closed deals: 👇 1. Build trust at scale BEFORE the pitch Stop spraying and praying with cold messages. Start building relationships through value. Each post builds trust. Your insights mark credibility. Stories create connection. Your content is doing the heavy lifting while you sleep. 2. Let buyers self-educate on THEIR timeline Modern buyers don't want to be sold to. They want to discover solutions themselves. ↳ 70% of the buying journey happens before they talk to sales ↳ They're researching you before you even know they exist ↳ Your content is either attracting or repelling them Give them what they need to make informed decisions. 3. Recognize the REAL buying signals Forget MQLs and SQLs. While you're chasing other prospects, your buyer is: ↳ Getting cold feet ↳ Talking to competitors ↳ Forgetting why they were excited Smart sellers stay present even when they're not there. Most sellers only uncover ONE level of impact in discovery. That’s why their deals stall, why their ROI slides don’t land, and why their champions can’t sell internally. The truth? There are 4 levels of impact—and if you miss even one, you’re selling half-blind. Selling is helping. But helping means going deeper than “company KPIs.” Here’s the framework I coach every AE on when they’re trying to win enterprise SaaS deals: 1. Company Impact This is where 90% of reps stop. “What’s the cost savings? What’s the revenue upside?” That’s table stakes. If you don’t tie your software to actual numbers—lost revenue, margin impact, labor cost—your ROI story collapses in front of a CFO. Example: A Service Cloud rep I coached quantified millions lost in unbooked hospital referrals because of missed scheduling calls. That turned a “$500K tool is too expensive” into “8X ROI, no-brainer.” 2. Buyer Impact Your champion has skin in the game. They left a stable job. Their reputation, career trajectory, even their family’s well-being are tied to this project. If you can show them how your solution makes them the hero internally, you create unstoppable personal buy-in. 3. User Impact These are the people who log in every day. If they hate the tool, adoption dies. If they love it, productivity soars, morale improves, turnover drops. Shadow them. Ask what frustrates them. Show them a better day in the life. 4. Customer Impact The most overlooked layer. How does your product improve the end customer experience? Faster service, better outcomes, less stress? For a hospital, it’s not about “efficiency.” It’s about a patient getting a life-saving scan booked in hours instead of days. Stop selling features. Stop selling “savings.” Start selling IMPACT. - Company. - Buyer. - User. - Customer. Miss one—and you’ll miss the deal. Hit all four—and you’ll never sell the same way again. Selling is helping. Most outreach tools help you send more messages. But if you look under the hood, volume is rarely the problem. The harder part is giving someone a reason to reply when they have absolutely 𝐧𝐨 𝐢𝐝𝐞𝐚 𝐰𝐡𝐨 𝐲𝐨𝐮 𝐚𝐫𝐞. The workflow we use is simple: → 𝐅𝐢𝐧𝐝 𝐭𝐡𝐞 𝐫𝐢𝐠𝐡𝐭 𝐩𝐞𝐨𝐩𝐥𝐞: Start with people already connected to your market through relevant audiences and LinkedIn conversations, not another cold list of job titles. → 𝐋𝐞𝐚𝐫𝐧 𝐛𝐞𝐟𝐨𝐫𝐞 𝐲𝐨𝐮 𝐰𝐫𝐢𝐭𝐞: Look at the person, their company, and what they have been discussing recently. A title tells you who they are. Their activity tells you what may matter now. → 𝐁𝐮𝐢𝐥𝐝 𝐟𝐚𝐦𝐢𝐥𝐢𝐚𝐫𝐢𝐭𝐲 𝐰𝐢𝐭𝐡 𝐭𝐡𝐨𝐮𝐠𝐡𝐭 𝐥𝐞𝐚𝐝𝐞𝐫𝐬𝐡𝐢𝐩 𝐚𝐧𝐝 𝐞𝐱𝐩𝐞𝐫𝐭𝐢𝐬𝐞: Follow the conversations that matter i. Add something useful when you genuinely have a point to contribute. → 𝐌𝐞𝐬𝐬𝐚𝐠𝐞 𝐰𝐢𝐭𝐡 𝐚 𝐫𝐞𝐚𝐬𝐨𝐧: Use what you have learned to explain why this conversation makes sense now. If the opening line could be sent to 50 people, it is not ready. → 𝐊𝐞𝐞𝐩 𝐭𝐡𝐞 𝐜𝐨𝐧𝐭𝐞𝐱𝐭: Save the outreach and reply together so the next interaction does not restart from zero.
