Building Strong Sales Pipelines in Remote Teams

Explore top LinkedIn content from expert professionals.

Summary

Building strong sales pipelines in remote teams means using smart strategies and teamwork to find and win new customers when everyone is working from different locations. A sales pipeline is a step-by-step process that tracks potential buyers from first contact to closing the deal, and building it remotely takes clear communication and creative collaboration.

  • Mix your outreach: Use a blend of calls, personalized emails, and video meetings to connect with prospects and keep your sales pipeline filled, instead of relying on a single channel.
  • Revive old contacts: Regularly revisit past clients and inactive accounts, using updated information to spark new conversations and uncover fresh opportunities.
  • Create shared routines: Schedule regular team sessions, like live calling hours or deal reviews, so everyone stays connected, learns from each other, and keeps up the energy—even from afar.

I've been working remotely for 5 years. Here’s what actually works: 𝟭. 𝗢𝘃𝗲𝗿𝗰𝗼𝗺𝗺𝘂𝗻𝗶𝗰𝗮𝘁𝗲 𝗲𝘃𝗲𝗿𝘆𝘁𝗵𝗶𝗻𝗴: Your manager can’t “see” your effort. Send deal updates. Recap calls. Share blockers early. Silence kills trust in a remote team. 𝟮. 𝗖𝗮𝗹𝗲𝗻𝗱𝗮𝗿 = 𝗽𝗶𝗽𝗲𝗹𝗶𝗻𝗲 𝗵𝗲𝗮𝗹𝘁𝗵: If your calendar’s empty, your pipeline probably is too. Block time for prospecting. Guard it like a closing call. 𝟯. 𝗩𝗶𝘀𝗶𝗯𝗶𝗹𝗶𝘁𝘆 𝗯𝗲𝗮𝘁𝘀 𝘃𝗮𝗻𝗶𝘁𝘆: Forget trying to “look busy.” Be useful. Comment on Slack threads. Show up in team calls. Be the rep people remember, even if they never meet you in person. 𝟰. 𝗕𝘂𝗶𝗹𝗱 𝘆𝗼𝘂𝗿 𝗼𝘂𝘁𝗯𝗼𝘂𝗻𝗱 𝗰𝗼𝗰𝗸𝗽𝗶𝘁: Sales tools, tabs, CRM views, your screen is your desk. If your workflow is clunky, your numbers will be too. 𝟱. 𝗦𝘁𝗮𝘆 𝗰𝗹𝗼𝘀𝗲 𝘁𝗼 𝗰𝗹𝗼𝘀𝗲𝗿𝘀: Remote can get lonely. Listen to top calls. Join blitzes. Slack someone after a big win. Proximity to high-performers drives momentum. 𝟲. 𝗦𝗵𝘂𝘁 𝗱𝗼𝘄𝗻 𝘁𝗼 𝗽𝗼𝘄𝗲𝗿 𝘂𝗽: Remote burnout is sneaky. Log off when the day ends. Walk. Lift. Recharge. No energy = no pipeline. 𝟳. 𝗖𝗿𝗲𝗮𝘁𝗲 𝗮 𝗿𝗲𝗮𝗹 𝘄𝗼𝗿𝗸𝘀𝗽𝗮𝗰𝗲: Your kitchen chair doesn’t count. Invest in a good chair, second screen, and noise-canceling headphones. Your back and brain will thank you. Remote sales works. But only if you work it right.

Your AEs are sitting around waiting for SDR meetings while their pipeline coverage drops < 2x. And you're wondering why forecasts keep missing. The linear SDR-to-AE model assumes clean handoffs and qualified pipeline flowing upward on schedule. But markets are tighter now. Budgets are frozen. Decision cycles are longer. You CANNOT afford to depend on a single pipeline source. Parallel prospecting should be, with few exceptions, not even up for debate right now. Here are some standards to set in stone: 1. SDRs focus on top-of-funnel volume. Book meetings. Qualify interest. Create awareness in accounts that aren't actively buying yet. 2. AEs prospect their own territory. Hunt for warm referrals. Expansion opportunities. Build relationships with execs. Go after high-value targets that require account context and business acumen. 3. Execs (yes, you) support in relationship-building Board members, founders, C-suite: everyone participating in opening doors and accelerating deals. Don’t get me wrong - this is NOT about SDRs failing. It's about current market conditions requiring more pipeline from more sources. Some of the best sales teams I know moved away from mass outreach this year and leaned into their network. Asked for referrals. Re-engaged relationships from 2-3 years ago. Fewer touches but higher quality deals. Better logos. Larger ACV. PS - Few teams I know use Vieu to uncover who in the company network (investors, advisors, customers, execs etc.) is connected to target buyers and can make intros. Check it out here: https://lnkd.in/g9GB2J8u That's AE-level prospecting. That requires business relationships and strategic thinking that SDRs typically don't have access to yet. The pushback usually sounds like: "But that's what we pay SDRs for. AEs should be closing, not prospecting!" lol ok. How's your pipeline coverage looking right now? If your AEs only work SDR-sourced pipeline, they're dependent on a single source. The implementation is straightforward: - Adjust quota expectations. If AEs spend 20-30% of their time prospecting, quota reflects that or territory size decreases. - Comp structure rewards it. Higher commission rates on self-sourced deals. SPIFFs for expansion within existing accounts. - Track pipeline composition. What percentage is SDR-sourced vs. AE-sourced? If it's 90/10, your AEs aren't really prospecting. - Get the right tech: Vieu for scaling network-led intros, Clay for market signals etc. This doesn't eliminate SDR teams, but it does admittedly change how they work with AEs. In a good way, IMO. Less handoff friction. More collaboration on account strategy. SDRs opening doors, AEs building relationships. Your top performers already do this. They're not waiting around for their next SDR meeting. They're working referrals, reaching out to warm contacts, expanding existing accounts. Make it systematic across the whole team.

I turned 10,000 dead CRM accounts into meetings using Clay workflows. The results were a 20% reply rate, over $200K in pipeline, and zero cold outreach. Most sales teams are sitting on a goldmine, yet they don't even know it. Here's how you can do the same: 1. TURN PAST CUSTOMERS INTO NEW OPPORTUNITIES Look for companies where your contract has ended or gone inactive. Import these accounts from your CRM into Clay. Find the original champion plus new decision-makers who've joined since. Then send targeted messages like: → "We worked with your sales team last year - wanted to share how we've solved the X challenge they mentioned" → "Since our last project with Acme Corp, we've added features specifically addressing your scaling issues." This approach feels like reconnecting, not cold outreach. 2. USE CHAMPIONS AS REFERENCE POINTS Find accounts where you had a strong champion in the past. Use Clay to verify if they still work there and in what capacity. Then reach out to new contacts in that account: → "Saw you work with Sarah, who implemented our solution for your marketing team last year." → "Your colleague Jason mentioned your team is facing challenges with X." Always verify employment status before sending these messages. 3. TARGET RENEWAL WINDOWS Pull contract end dates from your CRM into Clay. Create auto-updating lists that flag accounts 60-90 days before expiration. Find both original buyers and newly added stakeholders. Time your outreach perfectly by saying something like: → "Your current plan comes up for renewal in September - perfect timing to share what's new." This timing creates a natural sense of urgency without being pushy. 4. CONNECT THROUGH OFFICE LOCATION Import location data for your contacts from your CRM. Use Clay to find new prospects at the same physical office location. Verify if both your champion and new prospect work on-site. Write messages that reference the shared location: → "Noticed you work with Sarah in the Austin office - we helped her team last quarter with X" This creates immediate familiarity and leverages existing presence. 5. BUILD LOOKALIKE ACCOUNTS Take your best-performing customers from your CRM. Run them through Clay + Ocean.io to find similar accounts. Target these accounts with messaging that references success patterns: → "Companies like Apple, Tesla, and Spotify saw 43% faster sales cycles using our approach." → "Based on our work with similar X teams, we've found Y works well for them" This combines the credibility of social proof with personalization. _____ The real edge comes from maintaining good CRM hygiene and regularly updating data. Most teams are sitting on gold, but still use outdated or incomplete information. Start using what you already have instead of starting from scratch.

30 days ago we started doing live Cold Calling power hours every afternoon with the full Retention.com sales team. Now it’s driving $175k in pipeline a week. Here’s how it works and 7 ways it’s helping our team: - 2-hour blocks every afternoon - 30 mins of practice with an AI bot - 75 mins of live dials. Teammates can hop in and listen real-time. - 15 mins of debrief and celebration 1. The team booked 7 new meetings last week. 4 were on Friday afternoon. While many AEs are unplugging and having a pint, the R! Team was lighting phones on fire. 2. It’s building a “remote bullpen” culture. Everyone’s cheering each other on, learning from wins and losses in real time. Just ask Dani P. - the entire team was cheering as he booked his first meeting as a newcomer. 3. The team is gaining confidence. When you make 20+ calls in a row with others watching, your nerves fade. Confidence builds. Outbound calls went from being a drag to the most exciting part of their day. 4. The pitch is improving. The team hears strong openers, great rebuttals, and tight value props - then borrows and adapts them immediately. 5. Reps are getting sharper, faster. Nothing accelerates learning like live reps. Hearing objections in real-time and watching teammates handle them builds confidence and improves messaging. 6. It’s making the team more resilient. When you’re cold calling together, rejection doesn’t sting as much. 7. We’re learning what actually works. You can A/B test subject lines forever, but the real gold is in hearing live reactions to your opener, your pitch, and your close. We’re constantly refining our approach based on real-world feedback. Email is safe. LinkedIn is comfortable. And neither are working as well as they used to. Nothing builds sales muscle faster than picking up the phone. Especially when your full team is listening. Our new Sales Manager (Dani) calls it the Banter Room.  Proud of Ben Dexter Walker Stroud David Cimaglia for showing up and showing out. Do you do Power Hours? How are you building an outbound culture?

If you’ve ever built pipeline from scratch, you know: Every channel has its breaking point: And every sales leader has their favorite weapon but the truth is, none of them win alone. After running 1,000+ campaigns across outbound teams, here’s what I’ve learned: Cold Calls, Cold Emails, and 1:1 Meetings aren’t competitors. They’re different gears in the same sales engine. [1] Cold Calls win when you need instant validation. Nothing beats hearing a real voice on the other end, feeling tone, and adjusting live. But it’s expensive and burnout is real. [2] Cold Emails scale when your team is small but your ICP list is huge. They buy you reach, but not attention. You win only if your copy sounds nothing like a template. [3] 1:1 Meetings? That’s where revenue is really made. Trust is slow to build, but once it clicks, conversion jumps from 10% to 80%. Most teams make the mistake of betting everything on one channel. The best ones build a rhythm: 👉 Call to test interest 👉 Email to nurture 👉 Meet to close That’s how you build a predictable pipeline not by being louder, but by knowing when each medium earns its turn.

Founder @ Demo to Close | I coach SMB & MM AEs on the beliefs, systems & skills behind predictable performance | 2X VP of Sales | 7,700+ sellers trained

Last quarter, I coached an SMB sales team where 90% of the AEs exceeded quota. Not by working harder, but by working sharper. Most teams chase deals blindly—ours played chess. Here’s the 5-step playbook that turned their pipeline into a quota-crushing machine: 1/ Prep Like a Surgeon: Reps used to wing calls, hoping charm would carry them. We mandated pre-call research—plugging prospect info, previous call transcripts, URLs and LinkedIn into GPT for 3 bullet points on buyer profile. Result? Demos hit pain points in minute one. 2/ Solve Their Core Issue: Generic demos were killing close rates. We trained AEs to ask prospects to prioritize their pain. Example: "Out of [list of problems], whats #1 and 2 on your list?"—then stick to that pain point through the whole demo Close rates jumped from 30% to 37% in a month. 3/ Lock in Next Steps: Deals stalled when reps left calls vague. We drilled a rule: Every demo ends with 3 clear options—No guesswork. Sales cycles shrank from 20 days to 14. 4/ Sell ROI, Not Features: Reps would feature-dump and pray. We flipped it. Example: "Your goal’s 50 leads a month; you’re at 20. This gets you there." Lead with the problem, end with the result. 5/ Own the Pipeline: Messy CRMs meant missed deals. We enforced hygiene—every deal worked, every follow-up tracked. Reps stopped losing $5-15k opps to ‘forgot to call back.’ Most SMB teams grind without a plan. This playbook gave them one—and 9 out 10 AEs exceeded their numbers. It’s not about more calls; it’s about better moves.

73% of sales teams are missing their quotas. Here’s how sales leadership can turn that around in 2025: Sales leadership is evolving faster than ever. What worked five years ago? It’s no longer enough. What works today? It’s about agility, empowerment, and strategy. As we step into 2025, these are the key areas where sales leaders need to focus to drive results: 1. 🚀 Shift from “Control” to “Enablement”: Top-performing teams don’t rely on micromanagement. They’re empowered. • Equip your team with cutting-edge tools: AI-driven CRMs, automation, and predictive analytics are no longer “nice-to-haves.” They’re essentials. • Remove bottlenecks: Leaders should focus on simplifying the process, not adding layers of approval or complexity. 2. 📊 Double Down on Data-Driven Coaching: Gut feeling isn’t strategy. The best leaders leverage data to improve team performance. • Use metrics to coach, not punish. Are reps struggling with conversions? Review call data, assess patterns, and coach on specifics. • Track more than revenue. Look at engagement, pipeline health, and lead follow-ups. These metrics show early warning signs of where the team needs support. 3. 👩💻 Embrace Remote Sales Leadership: The hybrid world is here to stay, and with it comes new challenges for leaders. • Focus on creating a culture of trust. Set clear expectations but give autonomy. • Invest in virtual training and team bonding. A lack of connection can erode performance over time. • Leverage asynchronous tools to ensure clarity—documented processes, video messaging, and clear goal-setting are key. 4. 🧠 Mental Health is a Sales Performance Driver: Sales burnout is real—high-pressure quotas and rejection wear on even the best reps. • Normalize mental health days and encourage open dialogue. • Train managers to recognize signs of burnout early. • Build team resilience through workshops, stress management tools, and recognizing wins (big or small). 5. 🏆 Celebrate Wins and Failures: Sales success is built on trying, failing, and improving. Celebrate the process as much as the outcome. • Share learning moments from “lost deals.” It’s not failure—it’s experience. • Recognize innovative approaches, even if they don’t succeed immediately. The Big Shift for 2025: Sales leadership is no longer just about hitting numbers—it’s about building systems, developing people, and fostering a culture where performance thrives naturally. What are you focusing on to lead your team into 2025?

I built a sales pipeline that tracks 47 deals worth $470,000 right now. Here's the exact setup I use (and you can steal it today). My situation: I was losing track of leads, forgetting follow-ups, and had zero visibility into which deals were actually moving forward. My "CRM" was a messy spreadsheet and my inbox. My process: 1. Created 6 pipeline stages that mirror my actual sales conversations: Interested Lead, Call Scheduled, Hot Lead, Cold Lead, No-Show, and Contract in Progress. Status (Won/Lost/Abandoned) moves front to back, stages move left to right. 2. Set up automatic opportunity creation the moment someone books a call. The system assigns the deal value ($10K for my high ticket offer), sets the stage to "Call Scheduled," and attaches it to their contact record. 3. Built a post-call form my team fills out in 30 seconds. Based on their answers (hot lead, cold lead, no-show, or closed), automation instantly moves the opportunity to the right stage and updates the status. 4. Added engagement scoring that runs in the background. Email opened = +1 point, reply = +3 points, form submission = +5 points, meeting booked = +10 points. When someone hits 50+ points, my team gets an alert that this lead is ready to close. 5. Connected everything to a dashboard that shows me open deals, won/lost ratios, and which salesperson is contributing what revenue. No more guessing about pipeline health. The results: I can see my entire sales operation at a glance. My team knows exactly which leads to prioritize. Deals don't fall through the cracks anymore. And I finally have real data to make decisions about scaling my sales team. This setup took me 3 hours to build but now saves me 10+ hours every week on manual tracking and follow-up management. Sales managers. If you want NEW revenue in 2026, stop guessing and start interrogating the pipeline. 🔍🔥 Implement a weekly sales meeting. No excuses. Just the pipeline. Run a “murder board” session. Every salesperson presents their current deals and defends exactly why each opportunity sits where it does. Stage. Probability. Next action. Buyer commitment. Close date. All of it. The rest of the team challenges the assumptions. Politely but relentlessly. What proof do you have? Who owns the decision? What happens if that meeting slips? Why is this deal stalled? This is not about embarrassment. It is about truth. When the pipeline is honest, three things happen fast. 👉Salespeople sharpen their thinking. 👉False optimism disappears. 👉The sales manager finally has a forecast the business can trust. Update it weekly. Share it company wide. Let operations, finance, and leadership plan with confidence instead of hope. Strong pipelines are built in the open! Who is already doing this?

Sales teams aren’t losing deals because of bad reps. They’re losing deals because their pipeline is chaos. The fix? Automate what slows them down. Here are 15 HubSpot sales pipeline automations that actually win 👇 1. Clearly define each pipeline stage What to do: Tie every stage to a real buyer milestone. Tip: Require a concrete action (call note, proposal upload) before a deal can move forward. 2. Automate data entry What to do: Auto-assign owners, set close dates, capture lead source. Tip: Pilot with a small rep group before rolling out to everyone. 3. Standardize deal properties What to do: Require BANT fields; review weekly reports. Tip: Use dropdowns/checkboxes to keep data clean. 4. Set up lead scoring What to do: Score based on fit + behavior (email opens, pricing page). Tip: +15 for demo requests, +10 for pricing page, -10 for irrelevant job titles. Trigger tasks at 50 pts. 5. Integrate with marketing What to do: Give reps visibility into campaigns/content that drove leads. Tip: Reference their webinar, email, or campaign touchpoint in your first outreach. 6. Create pipeline-specific views What to do: Build views like “No activity in 7 days” or “Proposal Sent.” Tip: Pin a default view for all reps to reduce wasted time. 7. Use automated task reminders What to do: Trigger follow-ups when deals sit idle for 7+ days. Tip: Hold reps accountable for 90%+ task completion rates. 8. Implement email templates & snippets What to do: Use 5 core templates and personalization tokens. Tip: A/B test subject lines every 30 days; retire underperformers. 9. Track pipeline velocity What to do: Measure days per stage; fix one bottleneck at a time. Tip: Use HubSpot calendar links to speed up scheduling. 10. Monitor deal health with reports What to do: Build dashboards for stalled deals, stage conversion %, forecast vs. actual. Tip: Reps must re-engage or close out flagged deals weekly. 11. Use playbooks in calls What to do: Attach qualification playbooks to early deal stages. Tip: Keep them short (5–7 questions) so reps actually use them. 12. Align with CRM hygiene rules What to do: Deduplicate monthly; auto-close “No Response” after 90 days; archive old Closed Lost. Tip: Use filters to quickly spot duplicates by email domain. 13. Leverage AI for insights What to do: Enable HubSpot AI “next-best action.” Tip: Compare AI-suggested vs. manual actions quarterly. 14. Deal stage automation for alerts What to do: Notify managers when big deals hit Negotiation; alert Finance + CS on Closed Won. Tip: Test with dummy deals first; keep alert messages short. 15. A/B test sales sequences What to do: Test one variable (subject, CTA, timing) at a time with 50+ contacts. Tip: Adopt winners, then move on step by step. 🔥 Don’t try all 15 at once. Start with 2–3, master them, then scale. Which will you try first? __________ 📌 Save this post for later 🔁 Repost to help others 💬 DM me if you need help + Follow Jennelle McGrath for more
